Who we are. Guardian Apps LLC (“we,” “us,” “our”) operates the Guardian Apps mobile applications, including QHSEInspect (“the App”), and this website.

1) Personal data we process

• Account & Profile: name, email, optional profile logo and signature.
• Inspection Content: customer and site details, inspection notes, photos/images you capture or upload, files you export.
• Location (optional): precise or approximate location and site address you enter or enable for inspections.
• Identifiers: app-generated IDs and device identifiers (e.g., IDFV) used for iCloud sync, security, and fraud prevention.
• Purchases: in-app purchase history (processed by Apple — we do not receive card numbers).
• Usage & Diagnostics: limited analytics (e.g., feature usage) and crash logs to improve stability and support.
• AI Analysis Data: images and text you submit for hazard analysis.

2) How we use data (and legal bases)

• Provide the App & features (create inspections, AI analysis, iCloud sync, report export) — contract necessity.
• Process purchases and prevent abuse — contract & legitimate interests.
• Support, troubleshooting, and improvement — legitimate interests.
• With your consent where required (e.g., camera, photos, location).

3) AI processing (OpenAI)

To generate hazard insights, the App sends selected images/text to OpenAI as our processor. By default, OpenAI may retain API inputs/outputs for up to 30 days for security/abuse prevention and does not use them to train models by default. Where available, Zero-Data Retention can be enabled for supported endpoints.

4) Storage & security

• On device: drafts and media are stored locally.
• iCloud: when enabled, data syncs to your Apple iCloud account; Apple’s security and retention policies apply to iCloud.
• Transport: all communications use encrypted connections (TLS).
  No method is 100% secure; we maintain technical and organizational measures appropriate to the risk.

5) Sharing and processors

We do not sell or share personal information for cross-context behavioral advertising. We share data only with:

• OpenAI (AI processing),
• Apple (iCloud, in-app purchases),
• Cloud storages you choose (e.g., when you export to your own Dropbox/Google Drive).
  We will update this section if we add other processors.

6) International transfers

Your data may be processed in countries outside your own (e.g., the United States). Where required, we use approved transfer mechanisms such as Standard Contractual Clauses.

7) Retention

• Inspections & media: kept on device/iCloud until you delete them.
• Support communications: typically 12–24 months.
• Diagnostics/usage logs: typically 30–90 days.
• Backups: typically ≤30 days.
  We may retain limited information to comply with law, resolve disputes, or enforce terms.

8) Your rights

Depending on your location (e.g., GDPR/UK-GDPR, CPRA), you may have rights to access, delete, correct, export (portability), restrict/object, and appeal certain decisions. You can also withdraw consent where processing relies on consent. To exercise rights, contact us at support@myguardianapps.com. Under GDPR, you may also lodge a complaint with your supervisory authority.

CPRA notices. We do not sell or share personal information for targeted advertising; we do not profile for decisions producing legal or similarly significant effects; we do not use sensitive personal information for inferring characteristics. Non-discrimination: we will not discriminate against you for exercising CPRA rights.

9) Permissions & your responsibilities

The App may request Camera, Photos/Library, Files, and Location permissions to deliver features you request. You are responsible for ensuring you have the right to capture and upload images/content (e.g., obtaining workplace/individual consent where required).

10) Children’s privacy

The App is not directed to children under 16 (GDPR). In the U.S., we do not knowingly collect personal information from children under 13 (COPPA). If you believe a child has provided data, contact us to delete it.

11) Changes

We’ll post updates to this page and notify you in-app when material changes occur.
